*This is a full-time, onsite position located in our Fort Myers, FL office.
JOB OVERVIEW
The Administrative Associate is a support role that ensures the daily operations of the office run smoothly and efficiently. Works to assist the Client Services department with client and vendor communications, as well as other employees across multiple departments to exchange information and documents related to client accounts and investments.
RESPONSIBILITIES & DUTIES:
- Utilizes CRM system to efficiently manage a high volume of client correspondence (voicemail, email, fax, and mail).
- Monitors inbox/secure uploads/faxes and respond to or properly re-assign all general inquiries in a timely manner.
- Greets and assists clients, in-person and over the phone, with general questions regarding account maintenance (updating information – contact, beneficiary, billing, online access, and verbal authorization for financial transactions).
- Answers assigned queue calls during designated hours, as scheduled.
- Learns and communicates IRS rules and regulations related to IRAs.
- Prepares monthly, quarterly and annual notices for clients and vendors.
- Assists with special projects as assigned.
- Follows assigned work schedule with regular and predictable attendance.
- Performs other duties as assigned.
QUALIFICATIONS:
- Minimum 1 year of experience in office administration or related field preferred.
- High school diploma or equivalent required; Associate degree or higher preferred.
- Requires a high level of professionalism and confidentiality.
- In person interaction that includes actively collaborating with colleagues and participating in team or company meetings.
PROFESSIONAL CERTIFICATIONS:
TECHNICAL SKILLS:
- Basic to intermediate level proficiency in Microsoft Office products (Excel, Word, Outlook).
- Intermediate 10-key skills.
- Ability to type at least 45+ WPM preferred.

PHYSICAL DEMANDS/WORK ENVIRONMENT:
This job operates in a professional office environment and routinely uses standard office equipment. While performing the duties of this job, the associate is regularly required to speak and hear. The associate is frequently required to sit for extended periods of time, as well as stand, walk, use hands and fingers, and reach with hands and arms. This job requires the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
